Do you have what I need in stock, when I need it?

Be specific about your needs and over what time period. Determine, in advance, if you are flexible enough to accept alternative offerings such as a previous generation monitors.
If the rental vendor cannot supply what you want for the time period you need it, cease all discussion and move on to the next provider.
How long have you been in business and in what ways are you different from other tech suppliers?
In other words, it is important that the provider sell the organization and its people. Years in business, key staff personnel credentials and depth of experience with the type of equipment you want to rent and/or the type of environment you are in, will be key to your own peace of mind.
What planning assistance will be provided?
One of the things you need to know, especially with a temporary setting such as a litigation war room, corporate temporary office or trade show, is exactly how the technology will fit into the environment. Ask for a drawing to scale - with a CAD drawing being the preference. If possible, ask the vendor to meet you in the space beforehand so they can point out any concerns they may have before you rent their technology.
What is your support plan, before and during the rental period?
What technical support and services does the supplier provide? Is there 24/7 telephone support? What is the typical turnaround time on phone calls and problem resolution? Is onsite support available?
What fees can I expect?
There are the standard rental fees, but you also need to know if there are separate fees for labor, delivery and on-site support. Remember, set-up and take down fees may be different if you are asking the tech support staff to work weekends and/or evenings. In addition, make certain the space you are renting is available during the setup and strike period.
What is your damage or replacement policy?
If the technology rentals are damaged sometime during the rental period, are replacements available? How long will it take to receive back-up units’ onsite? Perhaps you can arrange to have backups’ onsite in case of damage or device failure.
Do you offer national coverage?
Many companies have offices all over the country, so entering a rental contract where the equipment can be made available on a local basis will save you a lot of money on shipping and storage costs.
Can you customize the technology and pre-load software?
If you are looking for a customized offering, including pre-loaded apps, you need to find out what the tech vendor can and cannot do. Having preconfigured rental devices ready on day one of your installation can save you a lot of time and money.
